Default Re: Email management - Improvements in future releases

In looking back over this thread and what's currently in the email system, I am wondering if there are any plans to natively be able to assign categories (multiple) to emails and cases.

This would allow for reporting on issues.

Also, a way to assign categories to emails and cases quickly using keywords in a text box (comma sep for multiples) to quickly categorize and not have to spend the time navigating a tree.

Finally, when creating these categories, a place to add a canned response to the category. So when assigning the categories, the user is also building the response to the customer and can add details or remove unwanted text and be on to the next email/case in just a few minutes.

For companies that get large volumes of emails and not all need to be cases, having a quick reply option is a huge time saver. Add the benefit of being able to report on this information to understand what the issues are is critical to a companies success.

Much needed features.

There's a way to automatically attache emails to corresponding contact records in Sugar CRM?
For example: if I receive an email from a matching email address it will automatically assigned to that contact

Question Re: Email management - Improvements in future releases

I am looking for a similar feature, both SalesForce & Microsoft CRM have an automated feature whereby inbound email is automatically attached to relevant Opportunities, Contacts & Accounts.. I am yet to figure out how to do this in Sugar and consider it to be a crucial aspect!

In addition to Inbound, there should also be a method for Sugar to capture outbound email and archive it.

This could be done by setting rules for inbound outbound email so that as soon as it arrives in Sugar system it gets attached. Then use a similar client connector as salesforce uses if needed....

Current Set-up:
-Thunderbird
-Sugar Connector for Thunderbird
-Hosted OpenSource SugarCRM

Are their any better set-ups than this???

I understand the implementation of SugarCRM folders was for the POP3 users, although the IMAP users have a structure set already and all email would be stored using the IMAP server. Essentially the SugarCRM folders for IMAP users fragments the email storage by not using the IMAP server storage. This highlights issues such as using other client to access all email such as a smart phone or iPhone like device & Webmail interfaces like HORDE.

With this understanding IMAP accounts should only import, store, and associate an email on a as-needed basis therefore making the SugarCRM email tool as an IMAP email client like Thunderbird. This would require less resources on the SugarCRM implementation and provide a client to IMAP accounts that does not impact multiple IMAP client vectors.

++Being able to specify and use IMAP folders for placing "sent email" and "folder storage" of an account's email less of a SugarCRM folder structure that lives outside the IMAP folder tree of a user.

I hope i have explained my suggestions clearly enough, if not please contact me.

(1.) testing testing testing
module still has a few bugs, notably missing dialogs in email search, connection error messages (either force the user to login or let them remain online forever), and blank random emails (all on 5.0c).

(2.) improved email search
specifically, the ability to search all fields for one or more keywords. Also ability to search message body in pop3 accounts. If this feature is present than strike that and see #1 again

(3.) no limit on # of messages taken from server (or workaround)
currently you must repeatedly hit check mail if the user has more than 50 messages in their inbox. There should either be no limit as before or a solution to automatically keep running the check procedure until all the messages are retrieved.

(4.) always open / on top 'all fields' email search
total search (ie. all fields in email, ala gmail) should be visible at all times within the email module. This would be in addition to the 'advanced search' tab

I'll add a 5th

(5.) fix a bug that claims there is no valid email address entered when replying to a message. When the address is changed to "firstname lastname" <user@domain.com>, it seems to not be recognized as valid. When just the email is entered the same message will send fine.

As I've said before users have high expectations for email and bugs such as those above are pretty well unacceptable for any type of official deployment. Would be very nice to things hardened up for the next release

Another thing for search which is quite simple is that all mailboxes should be selected for search by default. Having users select a mailbox manually each time is unnecessary and frankly unintuitive for typical end-users.

Lightbulb Re: Email management - Improvements in future releases

May I throw in something that has been said here before?

Have a serious look at Roundcube, it's internationalized, has a nice UI and all the basic functionality you need. If you could integrate this as e-mail client, it would certainly benefit SugarCRM a lot!

At the moment (and ever since we started using Sugar in 2006), we are not using the e-mail functionality. All e-mails are sent BCC: to a mailbox that is then imported into Sugar later and assigned to the contacts/opportunities so we have everything in place. That is the most productive solution and the only one that works... Is anyone doing it the same way?

Cheers
